Jennifer Griffiths Recruitment are seeking to employ a Production Administrator for our fast-growing and international client in the Port Talbot area. About the role

The Production Administrator plays a vital role in supporting the smooth operation of the production process by ensuring accurate documentation and efficient administrative support. The key responsibilities include printing product labels to meet production schedules, scanning and organizing production paperwork into the system, and performing general administrative tasks to ensure compliance and streamline operations.

This role requires excellent attention to detail, strong organizational skills, and the ability to work collaboratively with production teams. The successful candidate will contribute to maintaining accurate records and efficient workflows, supporting the broader production objectives.

 

Working Relationships and Environment

  • Reporting to: Factory
  • Collaborates with: Port Talbot Manufacturing Team, Procurement Team, Quality and Compliance Officer.

 

Principle Accountabilities

  • Accurate and timely creation and printing of product labels to meet production schedules.
  • Scanning, organising, and maintaining production and quality assurance paperwork in the system for traceability and audit purposes.
  • Supporting the Factory Management Team with administrative tasks to ensure the smooth operation of factory activities.
  • Ensuring compliance with company procedures and policies, including product safety, health and safety, and quality standards.
  • Maintaining accurate records and filing systems for production and logistics documentation.

 

Principle Responsibilities

  1. Label Management:
  • Generate, print, and distribute product labels as per the production plan.
  • Ensure label accuracy, including product information, batch numbers, and expiry dates.
  • Maintain an inventory of label stock and notify the relevant team when replenishment is required.
  1. Document Management:
  • Scan and upload production and quality paperwork into the system, ensuring proper filing and traceability.
  • Organise physical and digital records to meet audit and compliance requirements.
  • Monitor documentation for completeness and accuracy, addressing any discrepancies with the relevant teams.
  1. Administrative Support:
  • Assist the Factory Planner in preparing production schedules, reports, and other administrative tasks.
  • Liaise with internal teams, including production, quality, and logistics, to provide necessary documentation and support.
  • Maintain office supplies for production administration tasks.
  1. Communication:
  • Act as a point of contact for administrative queries related to production documentation.
  • Provide updates to the Factory Planner and relevant teams regarding completed tasks or outstanding issues.
  1. Compliance and Continuous Improvement:
  • Ensure all tasks comply with company policies, product safety, and health and safety regulations.
  • Identify opportunities to improve administrative processes and contribute to a culture of continuous improvement.

 

Qualifications/Experience

Essential:

  • GCSEs or equivalent, including English and Mathematics.
  • Proficiency in Microsoft Office applications, especially Word, Excel, and Outlook.

Desirable:

  • Additional training or certification in administration or office management.
  • Experience with ERP or production management systems (e.g., SAP, IFS, or similar).

Experience:

  • Prior experience in an administrative role, preferably in a production or manufacturing environment.
  • Experience in handling documentation and maintaining accurate records.
  • Familiarity with label printing and scanning systems is advantageous but not essential

  • Port Talbot – On site

Salary

  • £12,975 per annum

Hours

  • 20 hours per week
  • 4 hours a day
  • Monday to Friday
